About the Job
We’re looking for a motivated Office & Executive Assistant (m/f/d) to join one of our portfolio companies to support day-to-day office and management activities.
In your day-to-day work, you’ll focus on ensuring smooth office operations and provide comprehensive support to C-level executives, and also get the opportunity to contribute to various projects.

In this role, you’ll:
- Manage calendar scheduling for C-level executives, ensuring their commitments and meetings are organised optimally
- Manage incoming and outgoing post, ensuring timely distributions and dispatches
- Oversee office management tasks, including maintaining supplies and ensuring an efficient and organised office environment
- Coordinate company lunches and other office events to foster team cohesion and morale
- Act as a point of contact (POC) for building management, handling any issues or communications related to office facilities
- Arrange seamless travel bookings for C-level executives, including flights, accommodations, and transportation
Your Profile
- Proven experience as an Office Manager, Executive Assistant, or similar administrative role
- Exceptional organisational and time-management skills, with the ability prioritise tasks efficiently
- Strong communication skills, both written and verbal, and the ability to handle professional interactions with discretion
- Proficiency in office management software (e.g., MS Office) and experience with calendar management tools
- Strong problem-solving skills and the ability to manage office facilities and serve as a point of contact for building management
- Fluent English required, German is a plus
Please note that we are looking for support in the Aachen office of our portfolio company. Eligibility to work within the EU is required as well.
